In this privacy statement we describe what personal data we collect, why we collect this data and how we process it. We also explain how you can review, correct or delete your personal information if you wish.

We collect personal data to provide you with better services and consulting. This includes, for example, the optimization and adaptation of our services and consulting to individualized the communication and to offer personalized event invitations as example on topics that interest you, rather than general information. By collecting your personal information, we can also facilitate the invitation and event process or access to other services.

2. Terms and legal bases
2.1 Terms

Personal data is all information that relates to an identified or identifiable natural person.

In other words, it is all information that can be directly or indirectly linked to a person. This could be a name, an address, telephone number and even images and IP addresses. When we collect personal data about you in connection with your visit to our website or as part of our services or event where you appear as a speaker or a visitor as example, we ensure that there is a specific purpose and a solid legal basis for doing so. This way you always know what type of information we collect and why.

Processing includes any handling of personal data, regardless of the means and procedures used, in particular the storage, disclosure, acquisition, collection, erasure, storage, modification and use of personal data.

The European Economic Area (EEA) comprises the European Union (EU) as well as the Principality of Liechtenstein, Iceland and Norway. The General Data Protection Regulation (GDPR) refers to the processing of personal data as processing of personal data.

2.2 Legal basis

We process personal data in accordance with Swiss data protection law such as, in particular, the Federal Data Protection Act (FADP) and the Ordinance to the Federal Data Protection Act (FADP). We process - if and to the extent that the General Data Protection Regulation (GDPR) is applicable - personal data in accordance with at least one of the following legal bases:

Art. 6 para. 1 lit. b DSGVO for the necessary processing of personal data for the performance of a contract with the data subject as well as for the implementation of pre-contractual measures.

Art. 6 para. 1 lit. f DSGVO for the necessary processing of personal data to protect the legitimate interests of us or of third parties, unless the fundamental freedoms and rights and interests of the data subject prevail. Legitimate interests are, in particular, our interest in being able to provide our offer permanently, in a user- friendly, secure and reliable manner, as well as to be able to advertise for it as required, information security as well as protection against misuse and unauthorized use, the enforcement of our own legal claims and compliance with Swiss law.

Art. 6 para. 1 lit. c DSGVO for the necessary processing of personal data to comply with a legal obligation to which we are subject under any applicable law of member states in the European Economic Area (EEA).

Art. 6 para. 1 lit. e DSGVO for the necessary processing of personal data for the performance of a task which is in the public interest.

Art. 6 para. 1 lit. a DSGVO for the processing of personal data with the consent of the data subject.

Art. 6 para. 1 lit. d DSGVO for the necessary processing of personal data to protect the vital interests of the data subject or another natural person.

3. Type, scope and purpose

We process those personal data that are necessary to carry out our activities and operations in a permanent, user-friendly, secure and reliable manner. In particular, such personal data may fall into the categories of inventory and contact data, browser and device data, content data, meta or marginal data and usage data, location data, sales data and contract and payment data.

We process personal data for the period of time necessary for the relevant purpose(s) or as required by law. Personal data whose processing is no longer required will be anonymized or deleted.

We may have personal data processed by third parties. We may process personal data jointly with third parties or transfer it to third parties. Such third parties are, in particular, specialized providers whose services we use. We also guarantee data protection for such third parties.

As a matter of principle, we process personal data only with the consent of the data subject, unless the processing is permitted for other legal reasons. Processing without consent may be permissible, for example, for the fulfillment of a contract with the data subject and for corresponding pre-contractual measures, in order to protect our overriding legitimate interests, because the processing is evident from the circumstances or after prior information.

In this context, we process in particular information that a data subject voluntarily provides to us when contacting us - for example, by letter, e-mail, instant messaging, contact form, social media or telephone - or when registering for a user account. We may store such information, for example, in an address book, in a customer relationship management system (CRM system) or with comparable tools. If we receive data about other persons, the transmitting persons are obligated to ensure data protection with respect to these persons and to ensure the accuracy of this personal data.

We also process personal data that we receive from third parties, obtain from publicly accessible sources or collect in the course of our activities and operations, if and to the extent that such processing is permitted for legal reasons.

If you choose not to provide personal information that we request, it may not be possible for you to benefit from the benefits of our service, consulting, events and our business network. In such a case, we may also be unable to respond to your inquiries or provide you with our services.

The information we collect depends on what information is necessary to provide a specific service. For example, we need your name, address, payment information and other contact information in order to deliver an order in our event planning and management.

The information we collect in certain situations includes, but is not limited to: the following:

  • Name and contact information – first and last name, home address, billing address, telephone numbers, email address.
  • Demographic data – date of birth, gender, preferred language.
  • Preferences – preferred topics and events.
  • Payment Information – Credit card and banking information.
  • Device and device usage information - session data if you have accepted the cookies for statistics about visits to our website, mobile device apps or services on internet platforms, multimedia portals and social networks, including duration and frequency of visits, language and country settings, information about your browser and your Computer operating system, IP addresses.
  • Location information – location data through the use of mobile devices.
  • Customer activity – when contacting our service or attending an event in any role.
  • Photos and video – Photos and video recordings (CCTV) from visits to our events in any role.

In many cases, you can control what information we may collect by changing your cookie settings.

4. Personal data abroad

We process personal data in Switzerland and in the European Economic Area (EEA). However, we may also export or transfer Personal Data to other countries, in particular to process it or have it processed there.

We may export personal data to all states and territories on earth as well as elsewhere in the universe, provided that the law there ensures adequate data protection according to the assessment of the Swiss Federal Data Protection and Information Commissioner (FDPIC) or according to the decision of the Swiss Federal Council and - if and to the extent that the General Data Protection Regulation (GDPR) is applicable - according to the decision of the European Commission.

We may transfer personal data to countries whose law does not ensure adequate data protection, provided that data protection is ensured for other reasons, in particular on the basis of standard data protection clauses or with other appropriate safeguards. By way of exception, we may export personal data to countries without adequate or appropriate data protection if the specific requirements under data protection law are met, for example the express consent of the data subjects or a direct connection with the conclusion or performance of a contract. Upon request, we will gladly provide data subjects with information about any guarantees or provide a copy of any guarantees.

5. Rights of data subjects (individuals)

Data subjects (individuals) about whom we process personal data have the rights under Swiss data protection law. These includes the right to information as well as the right to correction, erasure or blocking of the personal data processed.

Data subjects (individuals) whose personal data we process may - if and to the extent that the General Data Protection Regulation (GDPR) is applicable - request confirmation free of charge as to whether we are processing personal data relating to them. In this case, data subjects may request information about the processing of their personal data, have the processing of their personal data restricted, exercise their right to data portability, and have their personal data corrected, deleted ("right to be forgotten"), blocked or completed.

Data subjects (individuals) whose personal data we process may - if and insofar as the GDPR applies - revoke any consent they have given at any time with future effect and object to the processing of their personal data at any time.

Data subjects (individuals) about whom we process personal data have a right of appeal to a competent supervisory authority. The supervisory authority for data protection in Switzerland is the Federal Data Protection and Information Commissioner (FDPIC).

6. Data Security

Ensuring the security of your personal information, we take appropriate technical and organizational measures to protect the confidentiality and integrity of personal data. We protect personal data against unauthorized and accidental destruction, accidental loss, technical errors, falsification, theft or unlawful use and against unauthorized modification, reproduction, access or processing.

However, you should be aware that the transmission of information over the Internet and other electronic media involves certain security risks and that we cannot guarantee the security of such transmitted data.

How long do we store your personal data?
We will retain your personal information for as long as we believe it is necessary or necessary to comply with applicable laws or as necessary to fulfill the purposes for which it was collected. The duration of storage depends on the type of data. In some cases we are legally obliged to store the data for a certain period of time.

As soon as your personal data is no longer required for the purposes mentioned above, it will be deleted or, where possible, anonymized.

7. Profiling and automated decisions in individual cases

We may process some of your personal data automatically in order to evaluate certain personal aspects (profiling). In particular, profiling enables us to better inform and advise you about our services, events and topics that may be relevant to you. For this purpose, we can use evaluation tools that enable us to communicate with you and apply to you if necessary. This also includes market and opinion research.

When establishing and implementing a business relationship, we generally do not use fully automated decisions in individual cases (such as in accordance with Article 22 GDPR). If we use such procedures in certain cases, we will inform you separately and explain your rights in this regard, if required by law.

8. Access, corrections or deleting personal data

If you would like a copy of some or all of your personal data information, please contact us using the contact details below. If any information is incorrect, we will update it at your request. You can also ask us to delete your data and not use it again. If you have given us your consent to use your information for marketing purposes, you can withdraw this consent at any time. In some cases, we may have a legal obligation to continue storing data for which you have withdrawn your consent.

Please note that deleting your data may limit the services we can offer in relation to services, topics and event and the therefore needed information if you like to attend.

9. Complaints and supervisory authority

If you believe that we have not processed your personal data correctly, you can contact us at any time. The FDPIC (Federal Data Protection and Information Commissioner) is responsible for law enforcement and monitoring in connection with data protection in Switzerland. Complaints can be directed to the FDPIC. You can find the FDPIC’s contact information here or by calling +41 (0)58 462 43 95.
